SUBJECT: Proper Memorandum Format
1.  This is a sample official memorandum for use within the squadron.
2.  The first line of the heading (HEADQUARTERS) will begin 1" from the top
of the page with 1" left and right margins.
3.  The date begins three lines below the bottom line of the heading and
right justified.
4.  The MEMORANDUM FOR line begins three lines below the date and is in
all capital letters.
5.  Every paragraph is double spaced.  In addition:
    a.  If the MEMORANDUM FOR line exceeds one line, the extra lines are
    single spaced.
    b.  Wrapped lines in paragraphs will begin directly below the para-
    graph number or letter.
    c.  When sub-paragraphs are used, the following order is used:
        (1) 2d level paragraphs are labeled a, b, c...
        (2) 3d level paragraphs are labeled (1), (2), (3)...
6.  Signature blocks begin five lines below the last line of the body
and three spaces to the right of the page center.

SUBJECT: Proper Memorandum Format
1.  This is a sample official memorandum for use outside the squadron.
2.  The first line of the heading (HEADQUARTERS) will begin 1" from the top
of the page with 1" left and right margins.
3.  The date begins three lines below the bottom line of the heading and

4.  The MEMORANDUM FOR line begins three lines below the date and is in

5.  Only office symbols will be used in the FROM line.
6.  A return address must be included in the FROM section.  ZIP + 4
codes must be used.  If you do not know your ZIP + 4 code, you may use
the US Postal Service ZIP + 4 Code Lookup Engine at
http://www.usps.gov/ncsc/lookups/lookup_zip+4.html
7.  Every paragraph is double spaced.  In addition:

Personal Letter

Dear General Ryan:
     This is a sample personal letter to demonstrate the proper way to
construct personal letters.  As with official memorandums, a 1" margin
is set to the top, left, and right margins.  Also as with official
memorandums, the date starts three lines below the bottom line of the
heading.  The first line of the return address begins three lines
below the date and contains the sender's rank, full name, and CAP.
     The recipient's name begins three lines below the bottom line of
the sender's address and contains the recipient's rank, if applicable,
full name, and their branch of service, if applicable.  After the last
line of the recipient's address, the greeting and all paragraphs
afterwards are double spaced and indented.  The signature block, as
with official memorandums, are five lines below the last line of the
body and begin three spaces from the page's center.

Memorandum for Record

 

MEMO FOR RECORD						1 Sep 99        
SUBJECT: MFRs        
Memorandums for record, or MFRs, are a simple, personal way to document
information to be used at a later date.  No header is required with MFRs,
and they are constructed simply by typing MEMO FOR RECORD on the first
line of a page using 1" top, left, and right margins, with the date in
either extended (1 September 1999) or abbreviated (1 Sep 99) format
justified against the right margin on the same line.  The subject line
is two lines below the MFR line, and the text body begins two lines
below the subject.  Paragraphs are not required.  MFRs may have
signature blocks, but they are not required.  The writer may either
sign his/her full name or initial the paper at the end of the text.
